Consider this typical compliance scenario…

Watch this video, or scroll down, to see a real-world example of Acme Holdings compliance challenge:

Acme Holdings has large customers who need to ensure that their data is being protected in an acceptable way.  Those customers will need to enforce compliance on their suppliers, like Acme, because their customers enforce it on them! Regardless of whether the POPI Act or GDPR is being enforced, Acme cannot afford to take risks with sensitive data. Increasingly, a business without proper compliance won’t be a business at all.

Let's unpack this scenario in more detail

Setting the data scene

Acme’s CRM, containing huge amounts of customer data, uses a cloud-hosted SQL database which is patched and secure.  Backups are encrypted and stored on a separate cloud-hosted platform.
All of Acme’s files, some of which also contain customer data, are stored on a local file server and get emailed between users all the time.  Permissions on the file server are out-of-date and not maintained.
A compliance and data security problem!  Whilst Acme’s CRM application contains most of its sensitive information, and is patched and secure, the real risks lie in the local file server and use of email to share files.  The CRM application could have the best security in the world and it won’t help when an employee’s laptop, full of sensitive emails and files, gets stolen.

Our solution

This type of scenario is extremely common, and Turrito Analytics is perfectly placed to solve the problems with a variety of tools.

  • All data stored locally can be moved to Sharepoint Online with a more detailed and secure permission structure and greatly improved security
  • Files can be linked on Sharepoint instead of being attached to emails meaning no local copies are stored.  Besides the compliance benefits this also prevents version conflicts and aids collaboration
  • Data Loss Prevention (DLP) can be implemented which will prevent any sensitive information leaving the network.  Words like “confidential” or a series of numbers which have the characteristics of an ID number or credit card can be flagged and blocked
  • Individual documents and sensitive files can be protected with rules that ensure that even if they do leave the network they’ll be encrypted and totally unreadable to unauthorized people

Schedule automated and easy-to-understand reports for your staff and clients with relevant and meaningful data. Choose highly detailed or visually appealing and graphical templates or customise from scratch.

Every business has processes to follow in order to achieve goals. From creating a sales order to applying for leave there is a workflow which needs to be followed to ensure control and create scalability.

Emailing files like documents or spreadsheets is incredibly inefficient and leads to version control problems and bloated inboxes. Utilizing a collaboration platform means everyone works on the same file at the same time with text, audio or video chat and a host of other useful features.

Whether you need to comply with the POPI Act, GDPR or ISO standards, Compliance is a hot topic and not going away. Luckily at Turrito Analytics Compliance is built into every stage of our projects.
