Each sales person in John Doe’s sales team seems to run their own task reminder system. Most use Outlook or other third party apps, but outside of this no real workflow system exists.

Setting the data scene

After an initial workflow session between Turrito Analytics and John Doe the following was noted about John’s current system.

Each person had their own task reminder “system”.
Most used Outlook, and some used other apps.
Outside of emails and work patterns, no real system existed in this context.
We had a number of workshop sessions where different workflow needs were identified and discussed. The best place to begin these matters, is to understand where processes repeat themselves, and where a consistent result is desired.

Our solution

We used the base created by Office 365 and SharePoint Online to setup workflows for the following as a starting point for system users to get used to the impact this could have on their daily lives:

Sales process: Proposal document approval through to a notification of Finance to invoice the client.
HR: An onboarding workflow to ensure a new staff member is taken through all the relevant steps, and to ensure the required actions are taken by the business areas involved (such as entry tags ordered, etc.).

A leave application workflow was drawn up to assist in managing the process consistently.

Finance: Expense Claims needed to be processed timeously.
Manco, Exco and Board meetings: Each of these have their own set of criteria, such as the Agenda, Previous Minutes being distributed, Meeting Documentation being distributed, etc. The reminders and processes around each needed to be automated as much as possible.
General: Internal News notifications and Company event notifications needed to be available to staff and easily accessed.

Once John’s staff began to experience the fluidity that workflow management brought to their work environment, they were able to identify additional needs that were also addressed.
